Facility Rental Contract
Terms & Conditions
All rental contracts must be signed by the renter or authorized representative along with payment of the deposit for the hall to be booked.
Payment
Deposit The deposit stated is due at the time of the completion of this contract. The deposit will be returned to the Renter upon satisfactory inspection of the rented facility after use. Portions of the deposit will be retained to compensate for any damages or additional clean up cost attributable to the Renter.
Rental Fee- The rental fee is due in full 2 weeks prior before the date of use unless this Contract is completed closer to the date of usage, in which case the fee will be due and payable during the submission of the Contract.
Cancellation/Refund If cancellation by either party is more than 30 days before the scheduled use of the facilities, the rental fee and deposit fee will be returned. If Renter cancels within 2 weeks of the event, St Anne will retain a 50% cancellation fee.
Returned Checks There will be a $30.00 fee for any returned checks.
Destruction and Damage
Destruction If facilities are destroyed or damaged by fire or any other cause or unforeseen occurrence that shall make the fulfillment of the contract impossible, then this Rental Contract shall terminate, payments will be returned and the Renter waives all rights to any claims against St. Anne Catholic Church.
Damage If anyone damages the facilities during the rental period, Renter shall pay for all necessary repairs. This includes any damage to the technical equipment, when operated by anyone other than St. Anne church staff.
Facility Use
General Liability Insurance The Renter must provide proof of insurance. If the party does not carry insurance, the Renter must purchase through the Diocese of Pensacola/Tallahassee. The fee is $140.00. The insurance company is Western Heritage Insurance Company and they provide limits of $1,000,000 Occurrence/$2,000,000 General Aggregate/$1,000,000 Personal Advertising Injury/$1,000,000 Products & Completed Operations Aggregate/$100,000 Damage to rented premises/$1,000 Medical Expense. Deductible $250 BI/PD claim including LAE.
Event Manager An event manager is required at all events. The fee is $150.00. They will be on location at the time of the event to ensure the terms and conditions of the contract are being met. They will also be responsible for making the parish center accessible to all parties involved in the event.
Conduct Smoking, chewing tobacco, gum chewing and foul/obscene language will not be permitted anywhere inside the facility. Adult supervision is required of all persons under the age of 18 at all times. No pets will be allowed; except for Seeing Eye dogs.
Alcohol Alcoholic beverages are restricted to events not open to the public and by invitation only events such as wedding receptions and private parties. The sponsoring person or organization accepts full responsibility for maintaining and control of consumption and enforcing moderation. Any behavior which indicates intoxication of any participant shall be cause for consumption to immediately cease.
All events which incorporate alcohol on the parish grounds shall come under the guidelines of the appropriate Florida State Statutes administered by the Florida Alcohol, Tobacco and Firearms organization. No open alcoholic beverages may be taken outside the building.
Security
Building Security St. Anne is not responsible for any valuable items left in the facilities. St. Anne should be locked when not in use, but others may use the facilities during the rental period and parts of the building may be open to the public. The Renter should take necessary precautions to protect valuable personal property and arrange with St. Anne for keys and closing procedures when using the facility after regular working hours.
Building Safety Capacity: The renter will not sell or distribute tickets to events in excess of the seating capacity or admit a larger number of persons than can safely and freely move about the rented space.
Exits: No portion of any passageway or exit shall be blocked or obstructed in any manner and no exit door shall be blocked while facility is in use. All designated exits shall be maintained in such a manner as to be visible at all times.
Set-up / Clean-up
Set-up Access to the facilities for setting up, including Caterers, will be during the hours stated on the face of this contract. The Event Managers sole responsibility is to supply the tables, chairs and rented equipment, along with trashcans and liners. We do not provide linens, silver, or tableware. The Event Manager will not be responsible for the moving, setting up or taking down of any equipment brought in by or for the Renter.
Clean-up The premises must be left in as good a condition as found at the beginning of the rental period. All food, beverages, equipment and rented supplies must be removed from the premises immediately after each use of the facilities AND NO LATER THAN THE EXIT TIME STATED ON THE FACE OF THIS CONTRACT.
Decorations Renter shall not cause or permit the facilities to be injured, marred or in any manner defaced or changed. Renter will not place any nails, hooks, tacks, screws or other fasteners into any part of the facilities.
